Agree actual working hours

Record overlap in local times and account for seasonal clock changes. Decide which meetings require live attendance and which updates can be written. Avoid consuming the entire overlap window with status reporting.

Use that shared time for design discussions, pairing and decisions with several stakeholders. Make the response expectation for routine questions clear without implying that everyone is always available.

Write tasks that can move independently

A useful task explains the user outcome, acceptance criteria and constraints. Link designs, contracts and relevant domain context. Include the expected behavior when an operation fails or a user lacks permission.

When a decision changes, update the shared record. A chat message seen by two people is not a reliable source of truth for a larger team.

Give questions an owner

Separate product and technical questions. Engineers need to know who can clarify business behavior and who can approve an architecture change. Define an escalation path for decisions that block delivery.

Track time spent waiting for reviews or access. These delays can be mistaken for implementation problems if the team looks only at completed tickets.

Plan access and procurement early

Share your supplier review process and data-access constraints before scheduling a start. Use sanitized information during assessment. Any contractual or data-processing requirements should be reviewed through your organization’s normal process.
